Tele911, Inc. (“Tele911”, “we”, “our”, or “us”) operates the RespondrAI mobile application (“App”), a tool designed for licensed EMS clinicians to support field documentation and clinical workflows. We are committed to safeguarding privacy and maintaining compliance with all applicable laws and regulations, including HIPAA (where applicable) and Google Play policies.

This Privacy Policy explains how information is collected, used, and protected when using the App.

1. Information We Collect

RespondrAI may collect the following categories of data:

A. Personal & Account Information

  • Name and professional identifiers
  • Contact information
  • Login credentials (via SSO or VSee authentication)

B. Protected Health Information (PHI) & Clinical Data

  • Patient demographic and medical information
  • Audio recordings and encounter transcripts
  • Clinical assessments and generated documentation

Note: PHI is controlled by authorized healthcare professionals and handled under Business Associate Agreements (BAAs), where required.

C. Device & Technical Performance Information

  • Device identifiers (e.g., Android ID)
  • IP address and network metadata
  • Crash data, error logs, and feature usage analytics

D. App Permissions

  • Microphone — required for recording encounters
  • Network/access permissions — required for secure upload and syncing
  • Camera/Storage — only if explicitly enabled for future features

Location is not collected unless enabled and authorized by the organization.

2. How We Use Information

Tele911 collects and processes information only to:

  • Provide ambient recording, transcription, and AI-assisted documentation
  • Support clinical workflows between EMS personnel and Tele911 physicians
  • Maintain secure app functionality and user authentication
  • Improve product reliability and performance
  • Comply with healthcare and operational requirements

We do not use patient information for advertising or commercial marketing.

3. Sharing of Information

We may share data only with:

  • Authorized healthcare organizations and providers using RespondrAI
  • HIPAA-compliant service providers such as AWS
  • Government/regulators when legally required

We do not sell personal data or PHI.

All third-party access is restricted by contract and security safeguards.

4. Data Security & Storage Location

We apply rigorous security measures including:

  • Encryption in transit and at rest
  • Role-based access control
  • Continuous monitoring and intrusion protection

Data may be stored or processed in the U.S. or other approved regions permitted under applicable laws and agreements.

5. Data Retention & Deletion

We retain data only as long as necessary to:

  • Support patient care documentation requirements
  • Fulfill contractual obligations with healthcare partners

Deletion Requests

Users may request deletion of account information through their organization administrator or Tele911 support.

PHI deletion may be limited by medical record retention requirements.

6. AI Transparency

RespondrAI uses AI to:

  • Transcribe encounter audio
  • Assist in generating structured documentation such as SOAP notes

Providers remain responsible for verifying and editing all clinical documentation.
AI output does not replace medical judgment.

PHI is never used to train generalized AI models.
Data used for approved model improvements is first de-identified where permitted.

7. Children’s Privacy

RespondrAI is not intended for the general public or for minors.
It is used exclusively by credentialed medical professionals.
We do not knowingly collect data from children under 18.

8. User Rights and Controls

Depending on your role and applicable law, you may:

  • Request access or updates to your information
  • Request corrections
  • Request deletion (subject to regulatory retention laws)

Requests are facilitated through your organization or directly with Tele911.

9. Updates to this Policy

We may update this Privacy Policy periodically due to service enhancements or legal requirements.
A revised “Effective Date” will indicate changes.
Continued use of the App signifies acceptance of updated terms.
